Make each item checkable
A checklist item should describe an observable finish state. "Prepare files" is weak because people can disagree about what finished means. "Export PDF, attach source file, and confirm filename" is easier to check.
The builder works best when you paste rough notes, then revise the output into action verbs and stable categories.
- Start items with verbs such as check, send, label, save, confirm, review, or clean.
- Split tasks when one item hides two different risks.
- Keep rare exceptions out of the main list unless they cause real failures.
- Add a final review step only when quality or handoff risk is high.
